Ticketed-event platforms exist for organisers who sell seats to the public: registration forms, badge printing, attendee apps, sponsor pages. If you run a 900-seat conference centre that hosts association congresses, you may need one. A wedding venue does not. Match the tool to how your room actually earns money
A pub function room lives on short notice. Most bookings are birthdays and wakes arranged ten days out, with a buffet and a bar tab. What matters is how fast someone behind the bar can check a date on a phone and take a card deposit. Heavy proposal builders slow that down.

VAT and record keeping decide more than the feature list does
UK venues deal with a VAT rule most software ignores. Hiring out a room can be exempt, while food, drink and most wedding packages are standard-rated at 20%. HMRC's land and property notice covers when room hire is exempt and when an option to tax changes that. If your system only allows one VAT rate per invoice, your accountant fixes it by hand every quarter.
Making Tax Digital for VAT means a VAT-registered venue must keep VAT records in compatible software or bridge them from a spreadsheet. A booking tool does not have to file your return, but it should export clean invoice data your accounting package can take. Ask each vendor what that export looks like, and ask your accountant whether it saves them work.

Guest data: the UK GDPR question nobody asks in the demo
A wedding booking carries names, phone numbers, dietary and sometimes medical information for dozens of guests. Under UK GDPR you are responsible for it even when a vendor stores it. Most organisations that use personal information also owe the ICO a data protection fee unless they are exempt.
In practice ask three things. Where is the data stored? Can you delete a couple's records after the retention period you set? Can you give a guest their data if they ask? A vendor that answers vaguely will leave you to answer the ICO later.

The subscription is the small number. The real cost is the fortnight when your events manager runs two diaries at once, retypes every future booking and teaches bar staff to check the phone instead of the book. For a venue with 180 future bookings, allow roughly two working days to enter them with deposits and contact details, plus a morning of training per role.
Pick a quiet month to switch. January and early February suit most UK venues, because the Christmas party season is over and wedding balances for spring are not yet due. Switching in late November is how a venue loses a Christmas booking in the gap between systems.
Keep the old diary readable for a year, but stop writing in it on the day you go live. Two places to check is worse than one imperfect one.

Is event management software the same as venue management software?
Not in practice. Most products sold as event management software are built for organisers selling tickets or planners coordinating suppliers. Venue management software starts from rooms, dates and deposits. A UK function room or wedding venue almost always needs the venue kind, even if the vendor's advert says event management.
What do UK wedding venues use?
Wedding-only venues often shortlist Sonas because of its couples portal, Xero integration and Stripe payments. Hotels with events teams look at Event Temple or Tripleseat. Does my booking software need to be Making Tax Digital compatible?
Your booking tool does not file VAT returns, so it does not need HMRC recognition itself. Your VAT records must end up in MTD-compatible software, though. Choose a booking system whose invoice export your accountant can load without retyping, or you are paying twice for the same data.
Can one invoice show exempt room hire and 20% catering?
