Holds, options and the second couple who wants the same Saturday

Most lost revenue at wedding venues starts with a hold that nobody remembered. A couple tours on Sunday, asks for the second Saturday in November, and the coordinator pencils it in. Two weeks later another couple wants the same date, the first couple has gone quiet, and the venue either turns the second couple away or double books.

Good venue software treats a hold as a booking with an expiry. It records who holds the date, when the hold lapses and who is waiting behind them. When the expiry passes, the coordinator gets a prompt to chase or release, and the second enquiry gets an answer the same day rather than the following week.

The same logic covers corporate options. A Christmas party enquiry in July often holds three dates while the client checks with their team. Each of those holds should show on the calendar in a different colour from confirmed events, so nobody quotes a 'free' Friday that is in fact promised to someone else.

One site, many spaces: lawns, chapels, pavilions and the rain plan

A Hunter Valley vineyard, a Yarra Valley estate or a Gold Coast hinterland venue usually books spaces in combination. The ceremony uses the lawn, canapés move to the terrace and the reception fills the pavilion. If rain is forecast, the ceremony moves under cover, which means the covered space must be kept free for that wedding even though it is not on the running order.

Your software needs to understand linked spaces. Booking the pavilion for a wedding should block the smaller rooms it is built from, and booking the wet weather space as a contingency should stop it being sold to a birthday on the same afternoon. A plain calendar with one line per room cannot do this, and that gap is where most double bookings at multi-space sites come from.

Clubs face the same problem indoors. A bowls club or RSL with a main auditorium, two function rooms and a bistro needs to see when a large booking closes the bistro to the public, because that changes staffing and the members' notice board, not just the diary.

Minimum spends, bonds and GST: where venue money gets confused

GST at 10% applies to venue hire and to food and drink served at a catered function, because the ATO treats the function venue as the premises where the food is consumed. Your quote, invoice and receipt should therefore carry GST on each line, and the tax invoice must show your ABN and the words tax invoice. For sales of A$1,000 or more the buyer's identity or ABN must also appear, which covers almost every wedding and corporate booking.

Bonds need separate handling. A refundable security bond is not part payment, and under the ATO ruling on deposits held as security, GST is generally accounted for only when the bond is applied to the price or forfeited. If your system records a A$1,000 damage bond as a payment against the invoice, your GST and your client's balance are both wrong.

Minimum spends add another layer. Many venues set a food and beverage minimum by day of week and season. The software should show the shortfall as the guest count changes, so the coordinator can suggest an upgrade before the final invoice rather than surprising the client with a room hire top up on the night.

  • Deposit: part payment towards the event total, with GST reported in line with your accounting basis.
  • Bond: security only, refunded after the event unless damage or cleaning costs are deducted.
  • Card surcharge: allowed, but the ACCC says it must not exceed what accepting the card costs you.

Liquor licence conditions belong in the booking, not in someone's memory

Every licensed venue works under conditions set by its state or territory liquor regulator: trading hours, the licensed area, responsible service of alcohol, and sometimes limits on outdoor areas or noise after a set time. Those conditions decide how late the bar can run at a wedding and whether drinks can follow guests onto the lawn.

Put the relevant conditions on the event sheet. When the coordinator confirms a 7pm to midnight reception, the bar close time, the last drinks call and the RSA certified staff on shift should print on the same sheet the floor manager reads. That is a booking record problem, not a compliance software problem, and it is exactly where venue software earns its keep.

What is venue management software?

Is venue hire subject to GST in Australia?

Yes. Venue hire by a GST registered business is a taxable supply at 10%, and so is food and drink served at a catered function held at the venue. Registration is required once GST turnover reaches A$75,000. Check your own position with the ATO or your accountant.
