Weddings booked to the minute: poruwa times and homecomings

A Sri Lankan wedding often runs to times chosen in advance: the arrival, the poruwa ceremony, the signing and the departure, each set by the family's astrologer. Popular dates fill fast, and the same couple may book a second function, the homecoming, a few days later at another venue or in a different hall of the same hotel. Venue management software has to hold both functions against one family and show each hall's day as a set of timed blocks, not a single tick in a box.

A hall with two or three spaces can easily run a morning wedding in one and an evening reception in another. The danger comes from the shared parts: the kitchen, the car park, the decor team and the staff. A good calendar lets you see the whole property on one screen, so the person taking a call at the front desk knows that the main kitchen is already feeding 400 guests at noon.

Ask any vendor to book a morning poruwa ceremony and an evening reception on the same day, with setup and clearing time, and see what the system warns you about. If it only warns when the exact same room is double booked, it will not save you from the shared-kitchen problem.

The 2026 IRD tax invoice format your system must be able to print

From 1 July 2026 every VAT-registered person in Sri Lanka must issue tax invoices in the revised format set by IRD Circular SEC/2026/E/03 under Gazette Extraordinary No. 2481/22. For a hotel or reception hall that means the words TAX INVOICE, your TIN, registered name and address, the buyer's TIN and details when the buyer is VAT-registered, the invoice date and the date of supply, a clear description with quantity, and the value, VAT and total in rupees.

The circular also sets the structure of the invoice number, YYMMM_QQQQ_XXXXX, which most older billing tools cannot produce. Corporate clients booking conferences and staff parties will reject an invoice that does not match, because their own VAT claim depends on it. Before you commit to any venue management software, ask it to print a full tax invoice for a VAT-registered company and compare every field with the circular.

If a system cannot produce the format, you will be retyping invoices in another tool, and the numbers in the two places will drift. That is the most expensive kind of software saving there is.

18% VAT, the registration threshold and the SSCL

VAT in Sri Lanka has been 18% since 1 January 2024, and a business must register once its taxable supplies pass Rs 15 million in a quarter or Rs 60 million over 12 months. Most hotels and the larger reception halls are well past that, and returns for every taxable period from 1 July 2025 must be filed online through IRD e-Services. Smaller halls below the threshold quote without VAT, and their software should let them do that without hiding the tax column forever, because a good season can push them over.

Service providers also pay the Social Security Contribution Levy of 2.5% on liable turnover once they cross the SSCL threshold. It is a cost of the business rather than a line on the client's invoice, but it belongs in the profit figures you look at every month. Software that only reports revenue including VAT will make a busy month look far better than it was.

Advances, balances and packages priced per head

Most halls quote a per-head package that includes the hall, a buffet and basic decor, and then add the poruwa decoration, the band or DJ, the Kandyan dancers and any extra hours. The couple usually pays an advance to secure the date and the balance in stages before the event. Every payment needs a receipt, and the balance on the booking must be right even when three family members pay separately.

Guest numbers change. A guarantee of 300 that becomes 340 a week before the wedding has to change the package total, the VAT, the kitchen sheet and the seating plan together. If those live in different files, one of them will be wrong on the day.

Hotel banquets and stand-alone reception halls need different things

A Colombo hotel selling weddings, conferences and staff parties needs banquet software that sits beside its rooms system and handles corporate accounts with VAT numbers. A stand-alone reception hall in Gampaha or Kurunegala needs speed at the front desk, simple per-head packages and clear advances, and it often has no accountant on site. Be honest about which one you are when you book demos, and ask each vendor to show a booking that looks like yours.

Either way, export matters. You should be able to take every booking, invoice and payment for the year out of the system as a spreadsheet, for your auditor and for the day you change software.
