Venue booking software for Pakistani marriage halls, marquees and lawns

Venue booking software for a Pakistani marriage hall has one job before any other: never sell the same hall, slot and date twice, even when three family members call about the same barat on the same afternoon. After that it has to carry the bayana, the balance, the menu, the provincial sales tax and the advance tax under section 236CB on one booking. In Punjab it also has to respect a law most software from abroad has never heard of: one dish and lights out by 10:00 pm. This page explains what to look for, what to test in a demo, and where Venura fits.

One family, three functions, two slots a day

A Pakistani wedding is rarely one booking. The mehndi, the barat and the walima can fall on three days, sometimes in two different halls owned by the same person, and the family expects one contact, one running balance and one set of receipts. Software built for single events treats them as strangers. Ask any system you test to link the three functions to one customer and show the total owed across all of them.

Slots are the second problem. Many halls sell a lunch slot and a dinner slot, and a marquee on a busy road may squeeze in a third. The calendar has to show slots, not just days, and it has to block the hour your team needs to clear the hall and reset the stage between them. A booking screen that only knows the date will let your manager sell a dinner over a walima that runs late.

Then there is the phone. Most enquiries in Pakistan come by call or WhatsApp, often from someone who is not the person paying. Good venue booking software lets you hold a date for a day or two against a name and a number, show it as tentative to everyone at the front desk, and release it automatically if the bayana does not arrive.

The Punjab one-dish rule and the 10:00 pm close belong inside the booking

The Punjab Marriage Functions Act 2016 is not a guideline. Section 4 limits food at a marriage held in a public place to one dish, which section 2 defines as one salan, one rice dish, one salad, hot and cold drinks, roti, naan and one sweet dish. Section 5 puts the same duty on the person owning or running the venue and on the caterer, and section 6 makes the venue owner responsible for ending all ceremonies by 10:00 pm. Under section 8 a breach can mean up to a month of simple imprisonment and a fine of Rs 50,000 to Rs 2 million.

That changes how a hall in Lahore, Faisalabad or Multan should set up its system. Menu packages for Punjab bookings should be built so that a second salan cannot be added by accident, and the event times on every booking should end before 10:00 pm, with the clearing time after it. When a family asks for something the law does not allow, the quotation is where your staff should say no, in writing, before anyone has paid for it.

Venues in Sindh, Khyber Pakhtunkhwa or Islamabad work under their own local rules, and an owner with halls in more than one province needs the system to apply the right package to the right hall. Test that by quoting the same menu for a Lahore hall and a Karachi hall and checking that only the Lahore quote enforces the limit.

Punjab Act sectionWhat it requiresWhat your booking software should do
Section 2(d) and 4One dish: one salan, one rice dish, one salad, drinks, roti, naan, one sweetOffer Punjab menu packages that cannot exceed the definition
Section 5The venue owner and the caterer must not serve beyond one dishPrint the menu on the quotation and the event sheet the caterer receives
Section 6All ceremonies end by 10:00 pmStop bookings that end after 10:00 pm at Punjab halls
Section 8Up to one month and a fine of Rs 50,000 to Rs 2,000,000Keep the signed quotation and menu on the booking as your record

Provincial sales tax and advance tax on the same bill

Sales tax on hall and catering services is collected by the province, not by FBR. The Punjab Revenue Authority, the Sindh Revenue Board and KPRA each publish their own rates and options, and Khyber Pakhtunkhwa lets marriage halls, lawns, pandals and shamianas choose between a fixed regime and a percentage of the bill. A Punjab hall usually quotes at the rate on its PRA registration, which practitioners report at 16% for most services, while Sindh's general rate is 15%. Check your own registration before you set the rate in any system.

FBR adds a second layer. Under section 236CB the venue collects advance income tax on functions and gatherings, and the rate card distinguishes people on the Active Taxpayers List from people who are not. That amount is not sales tax and should never be mixed into the sales tax line. The safest invoice shows the menu and services, the provincial sales tax on them, and the advance tax as its own line with its own label.

So the test in any demo is simple: can you set the tax rate on each line, add a separate line for advance tax, and change the provincial rate for one hall without touching the others? If the answer is a single tax box for the whole account, you will be correcting invoices by hand all season.

What to test in a demo before choosing venue management software in Pakistan

TestWhy it matters
Book a dinner slot on a date where the lunch walima ends at 4:00 pmThe calendar must handle slots and clearing time, not just whole days, or two families will share a stage.
Build a Punjab menu package and try to add a second salanSections 4 and 5 of the Punjab Marriage Functions Act limit the menu to one dish, and the venue owner is liable.[1]
Set an event in a Lahore hall to end at 10:30 pmSection 6 makes the venue owner responsible for ending ceremonies by 10:00 pm. The system should warn you.[1]
Invoice a booking with provincial sales tax and a separate 236CB advance tax lineThe two taxes go to different authorities and must not be mixed in one figure.[5]
Take a bayana, move the barat by three weeks, then take the balancePayments must follow the booking to its new date, with a receipt for each one.
Link the mehndi, barat and walima to one familyThe family expects one balance across all three functions, even in two different spaces.
Change the rate for one hall in Sindh without changing your Punjab hallsPRA, SRB and KPRA set different rates, and an owner with halls in two provinces needs both.[2]

Bayana, balances and the date that moves

The bayana is the moment a booking becomes real. Most halls ask for a fixed sum or a share of the total, and the family pays the rest in one or two parts before the event or on the day. Every payment needs a receipt, and the balance on the booking has to be right at all times, because the person collecting the final payment at 9:30 pm is rarely the person who took the bayana weeks earlier.

Dates move. A death in the family, an exam result or a change in the groom's travel plans can push a barat by a month. Your software should let you move the booking with its payments intact, record what you agreed about the bayana, and free the old slot for someone else at once. Postponements handled on paper are where most disputes between halls and families begin.

  • Hold a date as tentative with an expiry, then confirm it when the bayana arrives
  • Issue a receipt for every payment, whoever collects it
  • Move a booking to a new date without losing its payment history
  • Show the balance due on the event sheet the night manager sees

Marquees, lawns and more than one hall under one owner

Many owners run a covered hall, an open lawn and a marquee on the same plot, or several halls across a city. Each space has its own capacity, its own generator needs and its own decor packages, and families often ask for the lawn for the mehndi and the hall for the walima. Venue booking software should show every space on one calendar, keep separate prices and extras for each, and let a manager see the whole week for all of them before agreeing to anything.

Extras are where margins hide. Stage decor, lighting, sound, extra generator hours and parking staff are often agreed on the phone and forgotten on the invoice. If each extra is a line on the quotation that flows into the invoice, nothing gets lost between the first call and the final bill.

Where Venura fits for a Pakistani venue

Venura is a venue and catering system with a booking calendar that warns before a double booking, an enquiry pipeline, quotations, invoices and receipts with the tax rate you set on each line, deposits and balances, event sheets for the kitchen and floor, staff roles, and sharing by WhatsApp or email. It runs on the web and in native Android and iOS apps, and the venue app and the catering app share the same bookings. There is a free 30-day trial, and plans for Pakistan are priced on request.

Venura does not file returns with PRA, SRB, KPRA or FBR, and it does not connect to their portals. It keeps the figures you need for them in one place and lets you export them for your accountant. If your hall runs on a fixed tax regime or a special arrangement, put that first on the demo agenda and ask to see it set up, not described.

Venue management software questions from Pakistan

What is venue booking software for a marriage hall?

It is the system that holds your calendar of halls and slots, the enquiries waiting for a bayana, the quotations and menus, and every payment and receipt. For a Pakistani hall it should also handle provincial sales tax, the separate advance tax under section 236CB, and in Punjab the one-dish rule and the 10:00 pm close.

Does the Punjab one-dish rule apply to the venue or only to the family?

Both. Section 4 of the Punjab Marriage Functions Act 2016 covers the person celebrating or organising the marriage, and section 5 puts the same duty on the person owning or running the venue and on the caterer. Section 8 sets a fine of Rs 50,000 to Rs 2 million and up to one month of simple imprisonment.

What time must a marriage function end in Punjab?

Section 6 of the Act requires the person owning, managing or running the venue to ensure that all ceremonies end on or before 10:00 pm. Build your evening slots so the event ends before then, and keep clearing time after it, so your staff are not the ones breaking the rule.

How should sales tax and advance tax appear on a hall invoice?

Show the menu and services, then the provincial sales tax at the rate on your PRA, SRB or KPRA registration, then the advance income tax collected under section 236CB as its own labelled line. Mixing the two into one tax figure makes your returns harder and confuses the family paying the bill.

Can one system run a hall, a lawn and a marquee?

It should. Each space needs its own capacity, prices and extras, but all of them should sit on one calendar so a manager can see the whole week before promising a date. Test this in a demo by booking the lawn and the hall for the same family on consecutive days.

Is Venura available in Pakistan, and what does it cost?

Yes. Venura runs on the web and in native Android and iOS apps, with the venue app and the catering app sharing the same bookings. You can try it free for 30 days, and plans for Pakistan are priced on request. Book a demo or message the team on WhatsApp from this page.

Does Venura file my sales tax returns?

No. Venura does not connect to PRA, SRB, KPRA or FBR systems and does not file anything for you. It keeps each booking's sales tax and advance tax lines, payments and receipts in one place so you or your accountant can prepare the returns from accurate figures.
