How bookings really happen at a Nigerian event centre

Enquiries come through WhatsApp, Instagram and phone calls from planners, and the date is usually treated as booked only after the first payment lands. Until then, two families can believe they have the same Saturday. Software that marks a date as held, with the name of the client and the date the hold ends, stops that argument before it starts.

Owambe season keeps weekends full. Traditional weddings, white weddings, birthdays, chieftaincy celebrations and remembrance services all compete for the same halls, and many families book the traditional and white ceremonies on different days. A calendar that shows both halls and both days of a family's celebration side by side saves a lot of phone calls.

Weekday business is different: conferences, product launches and church programmes that need the hall for a morning, with projectors and a stage. If you rent the same space by the day and by the half day, the system must handle both without manual notes.

Families usually ask two or three centres for prices on the same day. The centre that replies first with a clear quote, the hall capacity and the payment plan is often the one that gets the first transfer.

Part payments, caution fees and the balance

Most clients pay in parts: a first payment to secure the date, more as the event approaches, and the balance before access is given. The caution fee is separate. It is refundable after the hall is inspected, minus any damage or overtime. Keep it out of the balance due, and record exactly what was deducted and why, so the refund conversation is short.

Prices move. Diesel, decor items and imported drinks can cost more by the time the event arrives than when the quote was sent. Put a validity period on every quote and state which items can be re-priced.

VAT, the Lagos consumption tax and e-invoicing

VAT remains 7.5 percent. Since 1 January 2026 it is charged under the Nigeria Tax Act 2025 and collected by the Nigeria Revenue Service, the renamed FIRS. Businesses below the small business threshold do not charge VAT, so check your position with an adviser before you add it to quotes.

Lagos adds its own 5 percent consumption tax on event centres, hotel facilities and restaurant food and drink, remitted to the Lagos State Internal Revenue Service. An Abuja or Port Harcourt hall does not charge the Lagos tax, so the system needs tax set per venue, not one rate for the whole business.

National e-invoicing through the NRS Merchant Buyer Solution is being phased in by business size. Venura does not submit invoices to NRS. If your business falls into a phase, you will need an NRS-compliant e-invoicing route alongside your booking system.

Power, vendors and the event-day sheet

On the day, the hall manager needs one sheet: hall opening time for decorators, the caterer and the DJ, generator hours, the end time, security, parking and who holds the keys. Many centres list power as its own line because diesel is a real cost per hour.

Vendor rules belong on the booking too. Some halls allow any caterer, others charge an outside vendor fee, and most set a time by which decorators must clear the floor. If those rules sit on the booking, nobody argues about them at midnight.

After the event, record overtime, damages and the caution fee decision on the same booking. That record is what protects you if a family disputes the deduction later.

Who sees what: managers, accountants and the owner

Most event centres have a hall manager who books dates, an accountant who confirms payments and an owner who wants the totals. They should not all have the same access.
