VAT basics for venues and caterers

VAT is 10% from 1 January 2022 and applies to hall rental, catering and event services; the NBR names function room and hall rental as not exempt. Registration is mandatory above BHD 37,500 of annual taxable supplies and voluntary from BHD 18,750. VAT invoices are due by the 15th of the following month, and simplified invoices are allowed for unregistered customers or supplies up to BHD 500 including VAT.

How events are booked in Bahrain

Most wedding bookings still begin with a call or a WhatsApp message from a family member who asks for a date, a hall and a price per head. Many celebrations use separate spaces or separate nights for men and women, and the hall often supplies the food as well as the room. Corporate bookings come through procurement teams that want a quotation on letterhead and a full VAT invoice.

The calendar has two peaks. Ramadan brings company ghabgas and iftars, and the weeks after Eid bring the wedding rush. Venues that answer availability questions quickly win more of those bookings, which is why a shared calendar by hall has become a practical need rather than a nice extra.

Hotels add a third pattern. Their ballrooms sell weddings, conferences and national day functions from the same banqueting team, and they usually hold bedroom blocks in a separate property system. The ballroom diary still needs the same holds, deposits and event sheets as a stand alone hall.

What VAT means for a hall or a caterer

Bahrain introduced VAT in 2019 at 5% and raised the standard rate to 10% from 1 January 2022. The NBR guide lists real estate leases as exempt but names the rental of function rooms and halls as taxable, so hall hire, catering and event services are all at 10% for a registered business.

Registration is mandatory above BHD 37,500 of taxable supplies a year and voluntary above BHD 18,750. VAT is due on the earliest of the supply, the invoice or a payment, which brings advances into VAT on the day they arrive. A VAT invoice is due by the 15th of the following month, and a simplified invoice is allowed for customers who are not registered or for supplies up to BHD 500 including VAT.

Displayed prices are treated as VAT inclusive, and a contract price that does not say otherwise is read the same way. Records are kept for 10 years, in Arabic or English. Bahrain lets VAT registered businesses issue electronic documents without asking the NBR first, and it does not run a clearance portal of the kind used in Saudi Arabia.

The documents every Bahrain booking produces

A typical wedding at a Bahraini hall produces a quotation, a signed booking form, an advance receipt, a VAT invoice for each payment or a single invoice that shows them, an event sheet for the kitchen and floor, and a final receipt for the balance. A company dinner adds a purchase order and a request for a full VAT invoice with the company's VAT number.

Keeping those documents linked to one booking is what makes the month end easy. When the accountant asks why VAT on advances in March is higher than VAT on events held in March, the answer is a list of bookings with deposits paid ahead, not a search through chats.
