How bookings really reach a UAE venue

Most enquiries start as a voice note or a WhatsApp message with three facts: a date, a rough guest count and a budget. Hotel ballrooms have sales teams who answer within the hour. Standalone wedding halls in Sharjah, Ajman or Al Ain often run on the owner's phone and a printed calendar. Both lose dates the same way: a hold that nobody chased, or two people promising the same Thursday night.

The mix of events is unusually wide. An Emirati wedding may book the main hall for the women's celebration and a smaller room or majlis for the men. An Indian family may want a mehndi, a sangeet and a reception across three nights. Companies fill the last quarter with gala dinners and awards nights, and Ramadan brings iftar and suhoor bookings that run nightly for a month. Outdoor venues add weather to the calendar, because a garden that sells every weekend in January can sit empty in August.

Good venue software has to hold all of this without tricks. One event can occupy two spaces. One space can be split. A hold should expire on its own date, and the person who made it should see the reminder before the date is lost.

Holds, airwall splits and the double booking that ends a relationship

Ballrooms with movable airwalls are where diaries fail. Sales books Section A for a corporate lunch, events sells the full ballroom for an evening wedding, and nobody notices that the lunch overruns into the wedding set-up. The system should know that the full room contains its sections and refuse a booking that overlaps any part of it, including set-up and breakdown time.

Holds need rules. A first hold on a Thursday in wedding season is worth money, so set an expiry, often seven or fourteen days, and require a deposit to convert it. When a second client asks for the same date, the software should show the hold, who owns it and when it lapses, so the sales manager can call the first client instead of guessing.

Write the rules down before the demo. Which rooms combine? How long is set-up for a kosha stage? Which dates need a higher minimum spend? A system that cannot store your rules will push them back into someone's memory.

5% VAT on hire, service charges and advance payments

Hall hire, catering, decor, entertainment and service charges are standard rated at 5% in the UAE. Registration is mandatory once taxable supplies pass AED 375,000 in twelve months and voluntary from AED 187,500, so most venues are registered from their first busy season.

Advances matter more than people expect. Under the VAT law, receiving a payment fixes the date of supply for the amount received, so a 30% deposit taken in March carries its VAT in March even if the wedding is in November. Your system should calculate VAT on the deposit, produce the tax invoice for it, and deduct it cleanly from the final balance. A tax invoice is due within 14 days of the date of supply.

Customer type changes the paperwork. A family that is not VAT registered can receive a simplified tax invoice. A company with a TRN booking a gala dinner above AED 10,000 needs a full tax invoice showing its TRN. If your venue adds a service charge, show it as its own line and charge VAT on it, because it is part of what the customer pays for the event.

E-invoicing from 2027: which venue invoices are in scope

The Ministry of Finance announced the electronic invoicing timeline on 29 September 2025. It covers business to business and business to government transactions. A pilot starts on 1 July 2026. Businesses with annual revenue of AED 50 million or more must appoint an Accredited Service Provider by 31 July 2026 and go live by 1 January 2027. Businesses below that figure appoint one by 31 March 2027 and go live by 1 July 2027.

For a venue the split is practical. A family paying for its own wedding is not a business customer. A company booking an awards night, a bank renting a ballroom for a conference, or a government entity hosting a reception is. Venues with a strong corporate calendar will send many in-scope invoices, so the clean data in your booking system matters: the customer's legal name, TRN and address need to be right before the invoice is raised.
