Why the hall diary breaks first

Most double bookings in Bahrain start with a phone call. A family reserves the main hall for a wedding night, a cousin of the manager promises the same date to a company, and nobody notices until both groups ask for the floor plan. A paper register or a shared spreadsheet cannot warn anyone at the moment the second promise is made.

Weddings make the problem harder because one celebration often uses more than one space. Many families book separate rooms for the men's and women's gatherings, sometimes on different nights, and the kitchen serves both. If the system treats the venue as one block, it cannot tell you that the smaller hall is free on Wednesday while the main hall is taken.

A good venue booking system treats each hall, garden or majlis as its own resource, shows them side by side for a date, and refuses a second confirmed booking on the same space and time slot. Provisional holds should expire on a date you set, so a family that never pays the deposit does not block your best weekend.

10% VAT on hall rental, and the deposit question

Bahrain's standard VAT rate has been 10% since 1 January 2022. The NBR guide lists the sale and lease of real estate as exempt, but it names the rental of function rooms and halls as one of the supplies that is not exempt. In practice that means hall hire, catering, decoration, sound and lighting on a wedding package are all taxed at 10% once you are registered.

Registration is mandatory when annual taxable supplies pass BHD 37,500, and voluntary from BHD 18,750. A busy wedding hall crosses the mandatory line quickly, so most venues that rent a large hall will be registered.

Deposits need care. The guide explains that VAT becomes due when payment is received before the supply, so an advance payment towards the wedding package carries VAT on the date it arrives. A refundable security deposit that is not an advance payment for the supply sits outside the value of the supply. Keep the two on separate lines so your quotation and your VAT return tell the same story.

Prices you display in Bahrain are treated as including VAT. If your price list says BHD 1,500 for the hall, the NBR reads that as BHD 1,363.636 plus BHD 136.364 VAT unless you clearly state that VAT is added. Quotations should say which way you price.

What the invoice has to show, and when

The NBR guide requires a VAT invoice by the 15th day of the month following the month in which VAT became due. For a wedding paid in three instalments, that can mean three VAT due dates and three invoices or a clear invoice for each payment. A simplified VAT invoice with fewer details is allowed when the customer is not registered for VAT, which covers most families, or when the supply does not exceed BHD 500 including VAT.

Corporate clients usually are registered and will ask for a full VAT invoice showing your VAT number, their VAT number, the date, a sequential number, the description, the amount before VAT, the VAT and the total. A venue management system should produce both kinds from the same booking without retyping.

Records have to be kept for 10 years under the current guide, or 15 years for real estate records, in Arabic or English. A system that keeps every quotation, invoice and payment against the booking is easier to show an auditor than a folder of PDFs on someone's phone.

Ramadan, weddings and the corporate calendar

Demand in Bahrain moves with the lunar calendar. During Ramadan, ballrooms and majlis spaces fill with iftar and ghabga gatherings for companies and families, and wedding bookings pause. After Eid, the wedding diary fills again and families want quick answers about free dates.

Who sees what in a family run hall

In many Bahraini halls the owner sets prices, a manager takes bookings and a supervisor runs the floor on the night. Each needs a different view. The supervisor needs the event sheet with times, the guest count, the seating plan and the menu, but not the discount the owner gave a relative. The manager needs the calendar and the payment status, and the owner needs the totals.

Is hall hire in Bahrain exempt from VAT like property rent?

No. The NBR VAT General Guide treats the sale and lease of real estate as exempt, but it lists the rental of function rooms and halls among the supplies that are not exempt. A registered venue charges 10% VAT on hall rental as well as on catering and decoration.

When does a Bahrain venue have to register for VAT?

Registration is mandatory once annual taxable supplies exceed BHD 37,500, and a venue may register voluntarily from BHD 18,750. Most halls that host weekly weddings pass the mandatory threshold, so plan your quotations and invoices on the basis that 10% VAT applies.
