Short-notice orders and the diwaniya week

Diwaniya evenings are regular gatherings, and the food is often ordered a few days ahead: trays of rice and lamb, grills, sweets, coffee and dates. Some hosts order the same thing every week. Others change the menu each time.

Trays, guests and pieces in one menu

Kuwaiti catering menus are priced in mixed units. Ouzi and machboos come by the tray, buffets by the guest, sweets by the piece or box, and coffee service by the event. Your system has to price all of these on one quotation without forcing them into a per-head figure.

Wedding catering for two separate celebrations

When a family holds separate women's and men's celebrations, a caterer may supply one or both. The women's event in a hall needs a full dinner service. The men's reception at the diwaniya may need trays, coffee and a few servers. These are different orders with different times and addresses.

Keep both under the same client so deposits and the balance are clear, but give each its own kitchen sheet and delivery details. A family that sees both orders on one statement trusts the bill.

Agree the serving times for each celebration in writing. The women's dinner and the men's reception rarely start at the same hour, and the kitchen plans around both.

Office catering, purchase orders and the 5% retention

Companies order lunches, meetings and Ramadan iftars. They want a formal quotation, their purchase order number on the invoice and a receipt for each payment. Many also hold back 5% of each payment until you provide a tax clearance certificate, because Kuwaiti rules require businesses to retain that share from supplier payments.

Record the retained amount on the invoice as an outstanding balance. Apply for your certificate through the Ministry of Finance's online tax services early in the year, then send it to each company that is holding money for you. Kuwait has no VAT, so the invoice itself shows the full amount in dinars with no VAT line.

Ramadan: iftars, suhoors and gergean

Ramadan changes the whole week. Companies and families order iftars that must arrive before sunset, suhoors late at night, and the gergean celebration in the middle of the month brings orders for sweets and nuts for children. The kitchen runs two shifts and the vans run at odd hours.

Set up each iftar or suhoor as its own order with its delivery time. That way a company booking twenty evenings has twenty clear sheets and one quotation, and a single cancelled evening does not break the rest of the bill.

Ramadan is also when staff are stretched furthest. Check the rota before you accept a late suhoor for a company that already booked iftar the same evening, and keep a short list of extra servers you can call. Lamb, rice and spices make up most of an ouzi tray's cost, and their prices change through the year. If your tray price was set two years ago, your best seller may now be your weakest margin.

Write down the ingredients and labour behind each tray and buffet, and check them every few months against supplier invoices. Then look at each event afterwards: revenue, cost and the time the kitchen spent. Some small office lunches earn more per hour than a large wedding. Food safety records and your licence

Kitchens that cook for events are licensed and inspected in Kuwait, and the Public Authority for Food and Nutrition oversees food safety. Check the conditions of your own licence for storage, transport temperatures and staff health certificates.
