Reservation fee, downpayment, full payment: how Philippine bookings move
Ask any function hall manager how a booking really happens and you hear the same steps. The client inquires, usually by Messenger or Viber. They come for an ocular. They pay a reservation fee to lock the date. They pay a downpayment, often half, some months before. They settle the balance before the event, and somebody has to check that the corkage, the extra hour and the damaged chair are on the final bill.
Each step is a moment where a booking can go wrong. A reservation fee paid by GCash that nobody recorded. A downpayment promised for Friday that never came, while the date stayed blocked. A balance that the client says was paid in cash to the caretaker. Philippine venues sell dates in different ways. A stand-alone events place or garden venue rents the space by block of hours and lets accredited suppliers in. Debuts, weddings, christenings and Christmas parties
A typical events place calendar mixes very different events. Weddings are booked furthest ahead and carry the biggest downpayments. Debuts have their own programme, with the cotillion, the 18 roses and the 18 candles, and a family that wants the host, lights and sounds supplier and photo booth all confirmed. Christenings and birthdays fill weekday afternoons. Corporate Christmas parties crowd into December and arrive with purchase orders and a request for an invoice in the company's name.
Booking software earns its keep when one Saturday holds a christening lunch and a wedding reception in the same hall. The turnover time between them, the supplier ingress for the evening and the extra cleaning all need to be on the calendar, not in someone's head.
Outside suppliers add a layer of their own. Many events places keep a list of accredited caterers and stylists and charge a supplier fee or corkage to anyone outside it. Write those rules into the booking from the start, so the client sees the fee on the first quotation rather than on the final bill, and so the caretaker knows which trucks to expect at ingress.
Invoices after EOPT: what a booking system can and cannot issue
VAT-registered venues charge 12% VAT on venue rental and their other services, and registration is compulsory once gross sales pass ₱3 million in 12 months. Since the Ease of Paying Taxes Act and RR 7-2024 took effect in 2024, the invoice is the primary document for services as well as goods, and the old official receipt is only supplementary.
That matters for software. A quotation, a statement of account or a payment acknowledgment from a booking system is useful, but it is not your BIR invoice. The invoice comes from your BIR-authorised booklet, loose-leaf forms or a registered computerised system. The BIR's release of 23 September 2026 also states that invoices typed in Word or Excel are not valid electronic invoices, and covered taxpayers must issue electronic invoices by 31 December 2026, with micro taxpayers outside the mandate.

What does the 31 December 2026 e-invoicing deadline mean for venues?
The BIR requires covered taxpayers to issue electronic invoices by 31 December 2026, and its 23 September 2026 release says invoices typed in Word or Excel are not valid electronic invoices. Micro taxpayers are outside the mandate. Check with your accountant whether your venue is covered and which accredited system you will use.
