Receipt Template for Philippine Catering and Venue Payments

Filipino families still ask for a resibo when they pay the reservation fee, and they are right to. What changed in 2024 is what that receipt is. Under the Ease of Paying Taxes Act, the invoice became the primary document for services, and a receipt is now a supplementary document. It still matters: it proves who paid, how much and through which channel, and it is what settles an argument three months later. This template is written for that role.

Receipt versus invoice after the EOPT Act

RA 11976 amended the Tax Code so that the invoice is the primary evidence for a sale of services. RR No. 7-2024 treats official receipts and similar documents as supplementary, and says leftover official receipts may be used as supplementary documents only if marked as not valid for claiming input tax.

So give your clients both, but know which does what. The invoice records the sale for VAT or percentage tax. The acknowledgment receipt records a payment: the reservation fee from the bride's mother, the second installment from the groom's side, the balance from the company sponsor.

Do not label a payment acknowledgment "Official Receipt". Call it an acknowledgment receipt or collection receipt, and put the invoice number it relates to on it.

What to put on an acknowledgment receipt

A receipt has no prescribed layout the way a VAT invoice does, but these are the details that make it useful as evidence.

  • Receipt number in its own series, and the date the money was received
  • Payer's name, and the client it is paid on behalf of
  • Amount in figures and words, in pesos
  • Channel and reference: GCash or Maya reference number, InstaPay or PESONet transaction ID, check number and bank, or cash
  • Booking number and invoice number the payment applies to
  • Total package, total paid to date and balance remaining
  • Your registered name and TIN
  • A statement that the document is not valid for claiming input tax

GCash, bank transfers, checks and cash

E-wallets and InstaPay transfers carry a reference number that the client can see in their app. Copy it exactly. When a client later says they paid ₱40,000 on March 3, you want to search for the reference, not scroll through a month of screenshots.

Checks are common for corporate bookings and for balances from older relatives. Receipt them as received, subject to clearing, and do not count them toward the balance until they clear. A bounced check means cancelling that receipt with a note, never quietly reusing the number. Note the bank's reason for the return on the cancelled receipt and ask the payer for a replacement payment by transfer, which clears the same day and leaves a reference you can trace.

Cash on the event day still happens, often from a sponsor's envelope. Count it with a second staff member present, receipt it immediately and deposit it the next banking day so the bank record supports the receipt.

Several payers, one booking

Philippine weddings and debuts are often funded by several family members and ninong or ninang sponsors. Each payment gets its own receipt, but every receipt carries the same booking number and shows the running balance. Without that, two relatives both think they paid the lechon, and one of them is right.

If a sponsor needs a receipt in their own name for their records, issue it in their name as payer and note the client on whose behalf they paid. Corporate sponsors paying part of an employee's wedding may also need an invoice in the company's name with its TIN, so ask before you issue anything, since changing names on an issued invoice later is far harder than getting it right the first time.

Refunds and cancellations

When a booking is cancelled, issue a refund acknowledgment for any amount returned, signed by the client, and keep a copy with the original receipts. If part of the reservation fee is retained under your cancellation terms, write the amount and the clause it relies on. Article 1229 of the Civil Code lets courts reduce penalties that are iniquitous, so a clear, graduated schedule written into the contract is the best protection.

Keep a payment log, not just a stack of receipts

A busy events place in December can take forty or fifty payments a week across bookings. A stack of carbon copies is almost useless when a client asks what they have paid so far. Keep a payment log with one row per payment: date, payer, booking, channel, reference, amount, invoice number and running balance. The Excel template has this log built in, and each receipt pulls from it.

Reconcile the log against your bank and e-wallet statements every week during peak season. A GCash payment that appears in the statement but not in the log is usually a receipt someone forgot to issue; a receipt with no matching bank credit is usually a check that has not cleared, or worse, a mistake.

Give the log to your bookkeeper at month end together with your invoice booklet. With VAT now following your invoices rather than collections, the bookkeeper needs both to see what has been billed and what is still outstanding.

Is an official receipt still valid in the Philippines?

Not as the primary document for a sale. Since RA 11976, the invoice is the primary evidence. Leftover official receipts can only be stamped as invoices or used as supplementary documents marked as not valid for claiming input tax.

What should an acknowledgment receipt for a reservation fee show?

A receipt number, the date money was received, the payer's name, the amount in figures and words, the payment channel and reference, the booking and invoice number, the balance remaining, your registered name and TIN, and a note that it is not valid for input tax.

Can I give only a receipt and no invoice for a deposit?

No. A VAT-registered seller issues a VAT invoice for every sale, and a non-VAT seller for each sale of PHP 500 or more. A receipt acknowledges payment; agree with your accountant when the invoice for a deposit or package is issued.

How do I record GCash payments properly?

Copy the GCash reference number onto the receipt exactly as it appears, with the date and amount, and keep the booking number on it. That lets you find any payment in your e-wallet history when a client disputes what they paid.

What if several relatives pay for one wedding?

Issue a receipt to each payer in their own name, note the client they paid for, and put the same booking number and a running balance on every receipt. Philippine weddings and debuts often have several sponsors, and that running balance prevents double charging.
