In Australia, event management software for venues usually means function software: the system a function centre, an RSL or leagues club, a winery or a harbourside restaurant uses to sell rooms, build run sheets and chase balances. It is a different job from ticketing, and different again from a conference platform. Function software is what Australian venues actually need
Walk into most clubs and function centres and the booking process is a paper function sheet, a shared calendar and an accounting package. The coordinator re-types the same numbers into all three, and the chef finds out about the coeliac guest from a sticky note.
Function software joins those steps. A room is booked for a session, the quote becomes the function sheet, the run sheet goes to the floor manager, and the invoice comes out of the same record. That is what separates it from ticketing platforms, which are built to sell seats to strangers rather than rooms to one client.
What Australian venues compare
Function Tracker describes itself as venue and event software developed in Australia for function venues of any size, with room bookings, menus, run sheets and invoices, and links to Xero and MYOB. EventPro has an Australian site for event and function centre software and sells configurable systems with implementation and training. Event Temple, a Vancouver company, targets hotels and venues with sales pipelines, proposals and invoicing. Each vendor's own site was read in September 2026. Confirm current prices with each vendor, because most change or are quoted.
Clubs have one extra question: whether the function system has to talk to the club's point-of-sale and membership system. If it does, that integration matters more than any feature on this page.

ATO tax invoice rules your function software must follow
GST in Australia is 10%, and most function prices are quoted GST-inclusive. The ATO requires a tax invoice for taxable sales over $82.50 including GST when the customer asks for one, and for sales of $1,000 or more the invoice must also identify the buyer, for example by name or ABN. Your ABN and the words tax invoice go on every one.
The practical test is the corporate booking. A company booking a $14,000 end-of-year party will ask for a tax invoice with its details on it before paying. If the software cannot add the buyer's ABN and show the GST amount or the statement that the total includes GST, your coordinator will be rebuilding the invoice in Word.

Deposits, bonds and minimum spends
Australian venues sell on minimum spends as often as on room hire: the room is free if the group spends $5,000 at the bar and kitchen. The software must track spend against the minimum through the night and bill the shortfall as room hire at the end.
Deposits need care too. A deposit that is part payment carries GST when the venue receives it. A security bond, refunded if nothing is damaged, is treated differently under ATO ruling GSTR 2006/2. Keep them in separate fields, with the refund date on the bond.
Guest data and the Privacy Act
The Privacy Act generally does not apply to businesses with an annual turnover of $3 million or less, according to the OAIC, but there are exceptions, including businesses related to a larger body corporate that is covered, and those that trade in personal information. Many clubs and venue groups are above the threshold anyway.
Either way, guest lists with dietary and medical notes are sensitive. Ask each vendor where data is stored, whether you can export it, and how you delete a client's records.
Clubs, wineries and waterfront venues run functions differently
An RSL or leagues club books functions around members' events and the bistro, so rooms are often released only a few weeks ahead and the bar runs through the club's own point-of-sale. The function system has to respect that the room may be needed for trivia on Wednesday and can only be sold on the weekend.
A winery or garden wedding venue sells long days with an outdoor ceremony and a wet-weather plan. The software needs a second space held as the rain option until the week of the wedding, without that space showing as free to other clients.
A waterfront restaurant with a private dining room lives on minimum spends and quick turnarounds between a Friday lunch and a Friday dinner. Set-up and clear-down times matter more here than anywhere else.
Whichever you are, test the system with the booking that causes you the most trouble today, not with the tidy example in the sales demo.
