Canadian banquet halls have a problem most event software was not designed for. What a GTA banquet hall asks of software that a hotel does not

South Asian weddings in the Greater Toronto Area are large and multi-day. A family may book a mehndi for 250 on Thursday, a sangeet for 400 on Friday and the reception for 650 on Saturday, often with different caterers or menus for each. Headcounts move until the final week, and each function needs its own count, room set-up and payment milestone.

Most event software treats that as three unrelated bookings. Owners end up tracking the family in a spreadsheet anyway. Look for a system that links functions under one client, shows the combined balance, and still sends each function its own sheet to the kitchen.

Sales tax: HST, GST and QST are not one setting

Ontario venues charge 13% HST. Nova Scotia is 14% from April 2025, per the CRA rate table. Alberta has only the 5% GST. In Quebec you charge the 5% GST plus the 9.975% QST, and Revenu Québec expects both to appear. A hall that also caters off-site in another province may need a different rate on the same day.

CRA also sets what a GST/HST invoice must show so that a corporate client can claim input tax credits, and the detail required rises with the amount. Your software should print the business number and the tax split without anyone typing it.

Quebec: the invoice has to be in French

The Office québécois de la langue française says documents that accompany commercial transactions, invoices and receipts among them, must be in French. A bilingual invoice is fine; an English-only one is not. Larger businesses have further obligations under the Charter of the French Language as amended by Bill 96.

For software buyers that means a simple test: can the system produce quotes, contracts and invoices in French, with French item names, from the same booking? If a vendor's templates are English-only, a Montreal or Quebec City venue will be editing every document by hand.

Banquet halls often find these tools are built around the salesperson, while their pain sits in the kitchen and the calendar. That is the gap to test for, not the length of the feature list.

Guest data and PIPEDA

Guest lists, phone numbers and dietary notes are personal information. PIPEDA covers private-sector organisations that handle it in commercial activity, while Quebec, Alberta and British Columbia have their own substantially similar laws for data inside those provinces. Ask where each vendor stores data, how you export it, and how you delete a client's records once your retention period ends.

One practical rule: collect only what the kitchen and the floor need. A dietary flag and a table number are useful; a guest's date of birth usually is not.

Moving a Canadian banquet hall off spreadsheets before wedding season

Most GTA halls book next summer's Saturdays between October and February, so the worst time to change systems is spring, when deposits are coming in daily and families are finalising headcounts. Move in the quieter weeks after the new year instead.

Start with future bookings only. For each family, enter every function with its date, room, headcount, menu and deposits received, and check the combined balance matches your spreadsheet to the dollar. A hall with 120 future weddings and three functions each is entering 360 records, which is two to three days of careful work for one person.

Set up tax and documents next: HST for Ontario events, GST and QST with French templates if you take Quebec bookings, and your cancellation terms on every contract. Train the sales team on holds and quotes, and the kitchen team on reading function sheets, in separate short sessions.

Run the spreadsheet alongside for one full weekend. On Monday, compare the two. If they match, stop updating the spreadsheet, keep a copy for your records, and tell every staff member there is now only one place to check a date.
