Holds, first options and releases

A hold is a promise you make to one client that you will not sell a date to someone else for a set time. Without software, holds live in a coordinator's memory and expire whenever someone forgets. Set a rule, for example seven days for a tentative hold, and let the system remind you and the client before it lapses.

Second holds matter on peak dates. When two parties want the same Saturday, the system should record who is first and who is waiting, and offer the date to the second party the moment the first releases it. Ask to see this in the demo; it separates booking tools from calendars.

Write the hold rule into your first reply so the client knows the clock is running. A line such as "We are holding Saturday 14 June for you until Friday at 5 pm" turns a vague interest into a decision date.

Food and beverage minimums, room fees and the all-in price rule

Restaurants usually sell private rooms on a food and beverage minimum rather than a room fee: spend $4,000 on a Friday and the room is free, spend less and pay the difference. Your booking software should track the minimum against the running order so the client sees the gap before the night, not on the bill.

Pricing display is also a legal matter now. In California, SB 478, in force since 1 July 2024, requires advertised prices to include mandatory fees, with an exception that lets restaurants and banquet or catering contracts show a mandatory fee separately if it is displayed clearly wherever prices appear. Nationally, the FTC's fees rule covers live-event tickets and short-term lodging rather than private events, but the direction is clear: show the total.

Taking the deposit online without losing the paper trail

The deposit is the moment a hold becomes a booking. Online card payment makes it easier for the client, and the processing fee is part of the software's real cost. Every deposit needs a receipt tied to the event, and the contract should say what happens to it on cancellation. Keep those records; the IRS says most business records should be kept at least three years.

Build an enquiry form that answers the next question for you

Ask only what you need to send a real option in the first reply:

After the deposit: hand the booking to the people running the night

Booking software that stops at the deposit leaves the hard part to email. Between signing and the event, the client changes the menu twice, adds eight guests and asks for a later finish. Each change needs a revised quote, a note to the kitchen and, sometimes, a new deposit amount. Keep all of it on the booking record so the manager on duty sees the final version, not the one from March.

Two weeks out, send the client a final details form: confirmed count, dietary needs, timeline and who signs on the night. Lock the count on the date your contract names, usually three to seven days before. Then print the event sheet from the same record. The fewer times anyone retypes the details, the fewer surprises on the night.
