Food handler certificate in Kenya: who needs one, how to get it and how often to renew

Who needs a food handler certificate in Kenya
The rule comes from public health law. The Public Health Act (Cap. 242) gives health officers power to have food handlers medically examined and to stop a person from working where food is handled. The Ministry of Health's checklist for food hygiene licensing, published in March 2023, turns that into a plain requirement: food handlers should be medically examined and issued with valid medical examination certificates, be clean in person and clothing, and be trained on basic food hygiene.
In practice that means anyone whose hands touch food or drink that a customer will eat. Your chef and kitchen team need one. So do servers who plate food at a buffet, bar staff who cut fruit for cocktails, and the casuals you bring in for a wedding of 400 guests. Drivers who only carry sealed hot boxes are a grey area, and many caterers certify them anyway because they often end up helping at the serving table.
The certificate belongs to the person but the duty sits with the business. If an officer finds an uncertified food handler during an inspection, it is the licence holder who answers for it.

How to get the certificate in Nairobi
Nairobi City County runs its own process through its online services portal. The county has approved Cerba Lancet Kenya to run food handler medical tests at selected branches: the lab uploads results to the county portal, the county issues the certificate, and the lab's own guide says the certificate is valid for 6 months. Many businesses use it because results come back quickly.
According to the county's approved laboratory partner, the examination usually includes a stool test, a urine test and a test for Salmonella, the bacteria behind typhoid. If a result comes back positive, the person is treated and retested before a certificate is issued. Ask the laboratory for its current price list, since fees are not published by the county in one place.
Business licensing in Nairobi has also moved online. The county's Unified Business Permit combines the business, fire, food, health and advertising licences into one permit, paid through the county's e-services portal. Your food hygiene licence and your staff certificates are checked together, so it pays to have both ready before you apply or renew.
Outside Nairobi: Mombasa, Kisumu, Nakuru and other counties
Public health is a devolved function, so each of the 47 counties runs its own examination and certificate process. The requirement to examine food handlers is national, but the clinic you use, the fee and the paperwork are set by the county.
The quickest route is to call or visit the sub-county public health office for the ward where your kitchen sits. Ask three questions: where do our staff get examined, how long is the certificate valid here, and does the county issue a combined business permit. Write the answers down, because staff who move between counties for events will meet slightly different rules.
If you cater events in several counties, keep your certificates from the county where your kitchen is licensed and carry copies to each event. Event organisers and venues in other counties often ask to see them before your team starts serving.

Certificates for events, casual staff and outside catering
Event catering is where certificates most often slip. A caterer with eight permanent staff might use thirty casuals on a Saturday, and those casuals change from week to week. Build a pool of regular casuals who keep their certificates current, and make a valid certificate a condition of being booked.
Venues that host outside caterers should ask for copies of the caterer's food handler certificates and food hygiene licence before the event, not on the day. If an officer visits during a wedding reception, the venue's own licence is on the wall and the venue will be asked questions too.
Venues with an in-house kitchen need certificates for their own team in the usual way. If your waiters only clear plates and pour drinks, check with your public health officer whether they count as food handlers at your premises. Many venues certify them anyway, since staff swap roles on busy nights.
Keeping certificates current without chasing paper
A 6-month cycle means a team of twenty generates forty certificates a year. Keep a simple register with each person's name, ID number, certificate number, date of examination and expiry date, plus a scan of the certificate. Review it at the start of every month and book retests for anyone expiring in the next six weeks.
Plan retests around your event calendar. December weddings and corporate year-end parties are when you need every pair of hands, so avoid a situation where half your team expires in the same week. Staggering examinations across the year spreads the cost and the time away from work.
