This is the recommended option from the Word file, cut down to the two blocks a finance approver reads first: the summary facts and the budget. Every figure reconciles, so you can keep the structure and swap in your own numbers.

What the client reads first, and how to order your pages
The person who signs the budget often was not in your meeting. In most corporate approvals your proposal is forwarded to finance or admin with a one-line email, and that reader opens page one, jumps to the budget, then looks for dates and payment terms. Build for that reader. Page one carries the event name, date, guest count, total, validity date and your GSTIN on a single screen, so a controller can find ₹13,45,500 plus GST in ten seconds. Concept goes to page two, run of show to page three, the budget table to page four, terms last. Aim for 6 to 8 pages in total. A 14-slide mood board ahead of the numbers is a good way to lose a finance reader.
Write the executive summary last, in 90 to 120 words: what, when, for how many, what the client gets on the night, the total and the validity date. Objectives come next, and three is the right number if each one can be checked. 'All 300 guests seated by 7:15 pm' is an objective; 'a memorable evening' is a mood. In scope, write two lists. The 'included' list names quantities: a 24 x 16 ft stage, 30 centrepieces, 12 crew. The 'not included' list is shorter and matters more, because every post-event argument starts with an assumption nobody wrote down. Overtime after midnight, bar service, guests above 300 and music licence fees are the usual four.
Here is how it goes wrong, as an example. A planner sends a 14-page deck with the concept first and a single line on page 11: 'Event production and coordination, ₹15,87,690'. Finance asks for a split and gets one, and the client then negotiates the ₹4,30,000 that covers stage, talent and decor, because nobody can defend a lump. A week later the guest list grows from 300 to 380 because two more departments were invited, and nothing in the proposal covers it. Those 80 plates are ₹1,32,000 of food, which becomes ₹1,74,451 after the 12% fee and 18% GST when the planner bills food inside its own event-management invoice (a caterer billing the client directly charges 5% instead). The planner is now asking for more money on an event the client believes is already priced.
Group the budget the way the client's purchase order will probably be raised: venue, food and beverage, production, talent, decor, media, crew. Show your management fee as its own line at 12%, not buried inside each vendor rate. A visible fee gets questioned once; a hidden mark-up gets questioned again every time the client sees a vendor's rate card. Then show tax properly. Event management is taxed at 18% under SAC 998397, split into 9% CGST plus 9% SGST for an in-state client or 18% IGST for an out-of-state GSTIN. If a company client deducts TDS under Section 194-C at 2% of the taxable value, ₹26,910 here, plan to receive ₹15,60,780 across the instalments, not ₹15,87,690.

Why three prices beat one, and what to change between them
One price gives the client one move: ask for a discount. Three prices give them a choice, and the conversation shifts to what to add or drop. In the sample, option B is 37% above A (₹3,62,700 on ₹9,82,800) and option C is 27% above B (₹3,56,850 on ₹13,45,500). Those gaps are wide enough that each option feels like a different event, and narrow enough that nobody thinks C is a stretch. Put the option you want in the middle, label it 'Recommended', and write A as an event you would genuinely run. Clients notice a strawman quickly, and one strawman makes them doubt every other number in the file.
Change four things between options and no more: plate rate, stage, talent and decor. Keep venue, date, guest count, crew, photography and payment schedule identical. In the sample, moving from A to B adds ₹3,10,000 before fee and contingency. Of that, ₹1,20,000 is food (300 guests x ₹400 more per plate) and ₹1,90,000 is a bigger stage, a live band and better decor. Add the 12% fee and 5% contingency to that ₹3,10,000 and you get the ₹3,62,700 gap in taxable value. When the client asks why B costs ₹3.6 lakh more, every rupee has a named reason.
Validity is a pricing tool. For a weekend date in the peak wedding months, which run from November to February in much of North and West India, venues sell out fast, so keep validity to 7 days and get the venue's hold in writing for the same period. For a weekday corporate event, 14 to 15 days is realistic. The sample uses 14 days, 28 September to 12 October 2026. A hold that lapses before your proposal does is an easy way to end up quoting a hall that someone else has already booked.
Payment terms follow the client's credit standing. The sample uses 40% on approval, 40% seven days before the event and 20% within 15 days after: ₹6,35,076, ₹6,35,076 and ₹3,17,538 on the ₹15,87,690 total. The first 40% releases vendors and secures the date, so do not let an event start on a token amount. A new startup or a proprietorship should pay 100% before the event. Running this process without software
You can run all of this in Word and a WhatsApp group, and many planners do. The discipline that matters is versioning. Save every send as client_event_v1_2026-09-28.docx, then v2, v3, and keep a one-line log of what changed and why. When a client says 'the earlier version had ₹1,05,000 for decor', you can open v1 in 10 seconds instead of arguing from memory.
Follow up on a fixed rhythm rather than by feel. Call on day 2 to confirm the proposal reached the right person, send a WhatsApp on day 5 with the one question that unblocks approval, and remind them on day 12 that validity ends on day 14. Three touches in 14 days is enough; a fourth message tends to read as pressure. Log each touch against the client so a colleague can pick up the thread.
Software starts to pay for itself when three things happen together: more than about 10 live proposals a month, more than one person quoting the same halls, and advances arriving faster than you can reconcile them. Below that, a good template and a disciplined folder are enough. Above it, double-quoted dates and unmatched advances tend to cost more than a subscription, which is what the tentative hold and the date lock are for.
